Coordination and Supervision (Quality Control)

Your well-thought-out project – be it for a hotel, a SPA or similar – is available with all detailed plans and realistic visualizations from OLENA Innenarchitektur.

All information is passed on to the executing companies and craftsmen. Can anything still go wrong here? Do you still need my accompaniment?

Here you will find the answers to these and other questions regarding the execution of your project.

Issues

Even if your interior design project is almost perfectly planned and conceived, including all relevant details, problems can arise during execution. It is particularly important to know what exactly to look out for and what can cause such problems to avoid potential negative impacts.

Issues
What needs to be done and my role:

x Planning errors

Whether it’s an error in the interior design plan or in the plans of specialist planners, such as HVAC, electrical, or similar – it doesn’t matter. The fact is that an error can affect all parts of the project. Such errors should only be resolved in coordination with all involved parties. In practice, however, the planner who made the error often tries to fix the problem independently with a new solution – often without consultation. This frequently leads to unintended visual or functional consequences for the entire interior design project. In hotel or gastronomy projects, this can become particularly risky.

I, OLENA Interior Design, am responsible for ensuring that, in the event of necessary changes, the planned hotel concept does not lose its overall idea and vision. It is important to coordinate all decisions, even if they initially appear irrelevant to all parties involved. Ultimately, only the interior designer can assess whether these decisions could have negative impacts on the project.

x Misinterpretation of drawings

Even if the interior design drawings are correctly prepared, their complexity and level of detail can sometimes lead to misinterpretation or inaccurate reading by the executing companies and craftsmen. This is a relatively common situation that often results in deviations from the original design or undesirable adjustments during the construction phase. Such misinterpretations can negatively impact the quality of execution, especially if important design or functional details are overlooked or incorrectly implemented.

In case of ambiguities, consultation is essential, and close coordination should take place to avoid misunderstandings and errors. In such cases, I should serve as the point of contact for the executing parties.

x Simplification

Even if it sounds unacceptable, simpler solutions are often sought during the execution of interior design projects – even when the project has already been approved. Fundamentally, it is not always wrong to propose better solutions if they appear more practical and may have been overlooked in the planning. However, such changes must never occur without prior consultation. Just because something seems simpler does not necessarily mean it is better for the project. In demanding areas such as hotels and SPAs, more elaborate solutions sometimes need to be chosen to achieve the desired and best possible result.

Independent changes, even if they appear to be improvements at first glance, are not permitted. Adjustments may only be made after consultation with OLENA Interior Design and renewed approval. This ensures that the original concept and design vision of the project are fully preserved.

x Late change of mind

Yes, it can happen that you, as a client or other project stakeholders, change your mind about certain details or furnishings after project approval. Naturally, this is always permissible. However, you should be aware of the potential implications. OLENA Interior Design’s projects are presented very realistically and thought through to the last detail. If you found the project presentation appealing but wish to make changes after final approval, the appearance of your project will change – often more significantly than you might expect. This does not mean you should no longer make changes.

It is important that these changes are coordinated and approved by OLENA Interior Design. If the impacts are significant, it would be advisable to adjust the 3D visualizations accordingly to facilitate your decision and avoid later regrets.

x Costs

Even if a cost estimate was prepared at the beginning of the project and the interior design project falls within a specific budget, decisions regarding costs and offers are often influenced during the course of the project, leading to a search for alternatives and compromises. Price increases may occur until execution, which can necessitate adjustments. It is by no means uncommon to consider cheaper alternatives, provided they do not compromise the design and functional quality of the project. In this regard, it is crucial that all changes are carefully reviewed and aligned with the overall concept to ensure the desired long-term results.

Just as with other issues, I, as the planning interior designer, should handle the selection of more affordable alternatives. Even if an alternative found by project stakeholders appears similar, do not make a decision without consulting OLENA Interior Design to avoid negative consequences.

Process:

  • Needs-based Coordination
  • Project Support
  • Situational Coordination
  • Ensuring Conformity
  • Contingency Solutions

A project can only precisely meet the planned and desired outcome if precise coordination and careful supervision are carried out by me as the planning interior designer.

As an interior designer, I place great importance on a high-quality project outcome, even during the execution phase. My task is to ensure that all plans and specifications are precisely implemented and that no details are overlooked.
This requires close coordination with the executing companies and craftsmen to guarantee a high quality project for your hotel or SPA. This means that I personally convey the planned project to the executing parties and specialist planners, explain the plans, and ensure the coordination of interfaces.

Please note that project coordination and supervision by OLENA Innenarchitektur should not be confused with construction management, which typically encompasses the comprehensive management of the entire project, including organization, scheduling, execution, and control.

The supervision service by OLENA Innenarchitektur is provided only as needed and billed at an hourly rate. It pertains to the control of the correct execution of the project according to the submitted detailed plans and 3D visualizations. This involves quality assurance and verifying compliance with the planned project specifications.

The most important element of this service is that craftsmen and executing parties have a point of contact as soon as questions arise, ambiguities appear, or new solutions need to be found. If this service is commissioned, I am thereby granted a certain decision-making authority to ensure the quality of the final result.

If necessary, I inspect the project execution on-site, coordinate adjustments, and am available for contingency solutions to ensure that the final result meets project objectives and client expectations.

Benefits:

  • Quality
  • Error Prevention
  • Conformity
  • Meeting Expectations
  • Client Satisfaction

The benefits you receive when I, as the planning interior designer, accompany your hotel or SPA project during execution have a clear goal: to delight you and your guests with the final result just as much as you were during project approval.

Ensuring Project Quality: Accompanying control ensures that the planned interior design project is precisely implemented. Behind every OLENA Innenarchitektur concept lies a complex series of significant elements, ideas, and components that interlock harmoniously and thoughtfully.
Only when all these components are carefully considered and adhered to can the overall concept seamlessly come together. A clear overview and the smooth interplay of all factors are guaranteed through needs-based coordination and supervision of the execution processes. This way, the quality of the final result can be ensured.

Early Error Detection and Efficient Communication: If I, as the planning interior designer, have the opportunity to take over coordination with the executing companies and trades, problems and deviations can be quickly identified and resolved before major damage occurs. Clear communication and coordination reduce misunderstandings between trades, and smooth alignment is ensured. In the event of unexpected challenges, solutions can be quickly found and implemented in consultation with all parties involved. Regular checks help minimize unforeseen costs and find practical solutions.

High-Quality Execution and Client Satisfaction: Control of craftsmanship ensures high processing quality. The accompanying supervision of your hotel or SPA project by OLENA Innenarchitektur guarantees that the final result meets the client’s expectations.
Conformity with plans and meeting expectations are crucial. It is not without reason that realism and precision are required in planning and 3D visualization. As a client, you typically approve the project when all its components have a positive impact on you. The goal of coordination is to ensure that this impact is not lost during execution and is passed on to your guests.
