Tendering & Specification

During this phase of planning your hotel or SPA, OLENA Innenarchitektur carefully selects and specifies materials, furniture, and design elements.

This selection significantly contributes to the quality, appearance, and longevity of the project or your hotel. It encompasses not only aesthetic aspects but also durability, functionality, and sustainability.

As part of your hotel project, a compilation of planned surfaces, materials, and design elements is created, taking into account the necessary properties of the various coverings, materials, and furniture.

This service phase of the interior design project constitutes an essential preparatory step for the subsequent execution. It includes a compilation of all interior design elements planned and visualized in the project – with the goal of creating a result that both meets professional standards and reflects your personal vision for your hotel or SPA.

A preliminary selection of all components of the interior design project begins at a very early stage of the process. During the creation of 3D visualizations, all materials and project elements must be represented as accurately as possible.
However, the final coordination and specification of materials only take place after the visual interior design concept for your hotel or the respective hotel area has been approved. Various options for materials, furniture, and other furnishing elements are carefully analyzed and compared to find the best possible solution for your specific hotel project.

This ensures that the selected materials and furnishings comply with both the design requirements of the project and the functional demands of use, applicable health regulations, and other construction standards in the hotel and SPA sector. The result is not only timeless, durable, and resilient but also safe, functional, and geared towards smooth hotel operations.

The selected products and materials are presented and labeled in wall elevations and detailed plans. This provides you with a comprehensive overview of the interior design project for your hotel. Numerous samples are presented, furniture prototypes are created if necessary, and custom designs are discussed and developed. Based on this information, tenders can be prepared, offers obtained, and discussions held with the executing trades such as carpenters, painters, and others.

The detailed plans, material definitions, and specifications of the interior design elements are particularly important for manufacturers, suppliers, and contractors. They convey an understanding of the planned project and explain both the processing and the procedure for the execution of the intended elements. All relevant details are discussed – from surfaces and installation techniques to lighting. The primary goal is to make the planned project implementable with high precision to ensure a high-quality and exact final result for your hotel or SPA.

“The aesthetic requirements emphasize the visual appearance of the interior design project. They encompass colors, textures, patterns, and design that determine the desired aesthetic feel and visual impact of the space in your hotel or SPA area.”

The material definition and specification of all contents of an interior design project are subject to numerous requirements – particularly in the field of hotel and SPA planning. Here is a brief overview of the aspects considered during the planning of your project.

Requirements

  • Aesthetics
  • Durability
  • Functionality
  • Safety
  • Sustainability

Aesthetics: The aesthetic requirements emphasize the visual appearance of the interior design project. They encompass colors, textures, patterns, and design that determine the desired aesthetic feel and visual impact of the space in your hotel or SPA area. Both current project specifics and timeless aesthetic and artistic principles of interior design should be considered.

Durability: This requirement aims for the selected surfaces, materials, and design elements to have a long lifespan in hotel operations. They should be robust and resilient to withstand daily use and potential wear and tear, ensuring a long-term investment in the hotel or SPA project.

Functionality: Functionality refers to how well the surfaces, materials, and design elements fulfill their intended purpose. Each hotel concept considers the efficiency of space utilization and the ergonomics of furniture to meet changing requirements and enable various activities or uses. A careful selection of materials and surfaces can facilitate cleaning and maintenance in hotel operations.

Safety: These requirements stipulate that surfaces, materials, and design elements must meet specific safety standards for the hospitality industry, primarily to prevent accidents or negative consequences during space utilization. This includes, for example, fire protection measures such as fire-retardant materials, as well as non-slip surfaces to prevent falls, especially in areas with increased humidity or hazards. Adequate sound insulation and acoustics must also be considered to minimize noise pollution.

Sustainability: Sustainability requirements refer to the use of ecologically compatible and resource-efficiently produced materials. This includes the use of environmentally friendly materials, waste reduction, and the application of energy-efficient technologies throughout the entire project lifecycle. Furthermore, sustainability aspects should also influence the selection of materials that have a long lifespan and are easily recyclable or biodegradable to minimize environmental impact.

“Every interior design hotel project has different budget limits. However, this does not mean that the quality and final result should suffer in some of them.”

The market and the range of materials, furniture, and execution options are extremely diverse. The selection, specification, and tendering for your project are based on the project framework you provide.

Project Budget

  • Price Categories
  • Budget Framework
  • Prioritization
  • Quality and Costs
  • Special Solutions

Is it possible to develop special solutions, utilize high-quality products, and stay within the project budget, even if it is limited?

Certainly, it is possible!

Through careful and well-considered hotel planning, it is ensured that the project is economically efficient and remains within the financial framework.

As an interior designer, it is my task to find the right balance, ensuring that no noticeable compromises are made to the project outcome, regardless of the project category, as even the most high-end projects in the hotel and SPA sector naturally have their limits.
For example, within a hotel concept, special solutions can be developed through simpler but very creative approaches that nevertheless lend a very exclusive ambiance to the rooms. Priorities can be set. This means that the most important interior design elements are designed to be very exclusive and high-quality, while savings are made on subordinate materials, always within the scope of permissible quality and use.

Even with high-end hotel projects, one must be able to manage the given possibilities very well. Just because the budget allows it does not automatically mean that a solution is appropriate.

During sampling appointments, the various materials and products are analyzed. If necessary, alternative solutions are also proposed to achieve an efficient, effective, and unique final result.
